Introduction

Sadberge Village Hall provides space for social and recreational activities that to enable people enjoy a better quality of life. Please help us to maintain a warm, safe and welcoming environment for all facility users by strictly adhering to these Party Rules and leaving the rooms you use as you find them.

House keeping

  1. When using Sadberge Village Hall for a private party or function, as the host, you are responsible for cleaning, and must leave the building as you find it. If additional cleaning is required because rooms are not left in a satisfactory condition, an extra charge of £30 will apply. To avoid this charge, please ensure all areas are swept before leaving, paying particular attention to sweeping up glitter, confetti and mopping the toilets.
  2. Every time you enter the building, you must complete a visual risk assessment to check for hazards before your party or event starts. A hazard is anything that might endanger you or a person attending your activity. Pay special attention to things that might harm children e.g. things that might fall on them or choking hazards, trailing cables, sharp objects, jagged edges, exposed wires and ensure doors are secure to prevent unsupervised children wondering off.
  3. After your party ends, it is your responsibility to leave rooms clean and tidy e.g.: sweep the floor, mop up spillages, place rubbish in bins and leave the kitchen clean and tidy.
  4. Before leaving the building ensure lights are switched off, doors and windows closed (check toilet windows) taps are turned off and everybody has left the building before locking up.
  5. Activities that involve flames, hot works, fireworks or smoke machines are not permitted without specific permission being sought in advance.
  6. Any electrical appliances you bring in to the building must be in good working order, used in a safe manner and have been tested in accordance with current safety testing requirements.
  7. Portable heating appliances are not permitted without specific permission being sought in advance.
  8. There is no landline phone on site so it is advisable to carry a mobile phone at all times in case of emergencies, or to contact our staff and to enable them to contact you in the event of an emergency.

FIRE Evacuation procedure

Sadberge Village Hall is an unmanned building, therefore as the party or event host you will be designated the role of “Fire Warden” and will take responsibility for the safe evacuation of people attending your function in the event of a fire.

It is your responsibility to familiarise yourself with the hall’s evacuation procedure (see below) and to pass a copy of this document to any third party who might be covering for you. Copies of this document are available at any time upon request.

Before your event starts you must read this evacuation procedure carefully.

  1. At the beginning of every session, familiarise yourself with the location of fire doors and escape routes and how you will manage an evacuation in the event of a fire. (If you have a large group of people, brief them at the beginning of the session on the location of fire exits and assembly point.
  2. If there is a fire, the alarm should sound automatically. However, if you discover a fire, leave by the nearest exit, sound the alarm on route, do not stop to collect personal belongings, close all doors, do not re-enter the building and dial 999.
  3. Be prepared to brief the fire brigade on the address of the building, the location of the fire; whether or not any members of your group are unaccounted for and to meet the fire brigade when they arrive
  4. Fire extinguishers are situated at various locations throughout the building – Please familiarise yourself with their location and how they operate.
  5. Only authorise a return to the building if you know it is safe to do so.

Evacuation of Disabled People

The problems encountered by disabled people evacuating a building in the event of a fire will vary with the disability of the individual and the physical configuration of the building; Whatever the parameters of each individual case, in the event of a fire alarm sounding a disabled person should try to leave the building by the fire exit furthest away from the fire.

The Hirer should consider the needs of those who take part in their sessions and consider whether participants will encounter any problems evacuating a building; it is important therefore that hirers are familiar with any difficulties members of their group may face.

This section is to assist visitors/hirers who are disabled or individuals who could be responsible for, or involved with people or a person with a disability that prevents them from walking unaided.

It is of particular relevance to persons who use wheelchairs, or have impaired mobility.  It is also of relevance to any person who has a disability, which is less obvious, for example, heart problems, arthritis, Dementia etc. and those who have poor sight or hearing.

Impaired Mobility

If it is not possible for a disabled person to leave a building unassisted, the hirer will be responsible for arranging for someone to assist the disabled person to ensure that they are evacuated safely. A friend/colleague or other individual should be identified to take on this role prior to the session commencing.

Impaired Vision

Any person who is visually impaired should familiarise themselves with escape routes, especially fire exits which are not in general daily use.  Where possible, a sighted person should accompany the individual along the escape route to the assembly point so that they may be warned of any hazards and reassured during the evacuation.

Impaired Hearing

If a person is hearing impaired they may have trouble in hearing the fire alarm.  However, some people may have sufficient perception of certain types of audible alarm signals to require no additional provision.  It is important for anyone who has difficulty in hearing the fire alarm to set in place a system for colleagues to alert him or her when the fire alarm is sounding.

 Additional Information

Hirers who are made aware that an individual attending their session has a disability should ensure that systems are in place to ensure the person/s are assisted to evacuate the building when the fire alarm sounds.

Hires who wish to discuss any problems or concerns relating to their ability to manage the safe evacuation of a person with a disability should contact the hall Manager.
